Office Manager
Full Time Position

ZOMA is looking to add an Office Manager to our expanding team for our new office opening in Dundalk.

What's Involved In This Role?

  • Answer incoming calls and emails, handle queries for the office.

  • Produce complete, accurate, and timely invoices.

  • Interface with customers via email and phone to resolve billing questions and issues.

  • Process inbound payments from customers.

  • Provide payments to our partners, suppliers and vendors.

  • Classify and reconcile expenses and vendor invoices.

  • Produce sales tax-related analysis to help ensure tax compliance.

  • Recommend process and systems improvements, with potential to lead certain projects.

  • Develop estimates in liaison with sales team proposals

  • Provide assistance with office documentation – grant paperwork, tender documents and compiling strategy reports and presentations.

  • Display confident, friendly and professional front of house management.

  • Ensure the office is well organised and provide a safe working environment for employees and visitors.

  • Plan meeting requirements catering for all needs, including refreshments/materials and room setup.

  • Update annual leave and sick leave documents on our in-house HR system

  • Manage the onboarding and exiting procedures for staff.

  • The first point of contact for managers and employees to resolve administration queries relating to IT, HR and Office Facilities, ensuring that requests are completed accurately and promptly.

  • Accountable for ordering and maintaining all office supplies, furniture, and appliances.

  • Produce ongoing administrate support including writing meeting minutes etc.

Base Salary

  • From €27,000 per year

If the following sounds like you, you might be the right person for the job:

  • Minimum 2 years office manager/accounting experience.

  • Proven track record in Microsoft Office & Sage Accounting packages.

  • Customer-focused, adaptable and proactive attitude.

  • Confidentiality and discretion.

  • Strong communication and organisation skills.

  • Enjoys agency culture and has a collaborative and willing to learn nature.

  • A proficient and confident English speaker.

  • Outstanding written skills.

  • Able to work on own initiative, without close supervision, prioritise workload.

  • Able to handle a high volume workload with shifting priorities, delivering a high standard of work every time.
